Introduction and Scope

Our Commitment to Privacy. This Privacy Policy describes how Carolina Furnished Rentals (the “Company,” “We,” “Us”), operating in Raleigh, North Carolina, collects, uses, protects, and discloses information that we gather through our Platform, during the booking process, and throughout the duration of the Mid-Term Rental (MTR) vacation rental stay.

Scope. This policy applies to all Users, Guests, and individuals who interact with our services, including prospective and current guests. It explains our practices and the choices available to you; where consent is required, we request it separately.

Information We Collect

We collect information necessary to facilitate vacation rental agreements and comply with legal requirements for renting property.

Personal Information Collected:

  • Identification Data: Name, date of birth, and a copy of a driver’s license or other government-issued photo ID.
  • Contact Information: Address, phone number, email address.
  • Financial Data: Employment history, income verification (pay stubs, tax documents), bank statements, and payment information (e.g., credit card details for deposits/rent).
  • Agreement Data: Emergency contact information, requested stay dates, and information needed to prepare the Vacation Rental Agreement.
  • Conditional Screening Data: Some properties require background screening based on the homeowner’s requirements. When screening applies, the screening provider may request additional identifying or history information and will explain its collection process before you submit it.

Automatically Collected Information:

  • Usage Data: Subject to your analytics choice, information about use of the Platform, including pages visited, referral source, browser and device information, and website interactions.
  • Cookies: CookieYes stores the necessary consent choice. Optional Google Analytics 4 and Microsoft Clarity technologies run only after analytics consent. Click-to-play third-party media is also subject to CookieYes blocking and your optional-cookie choices. See our Cookie Policy for the inventory and controls.

Analytics and Session-Replay Privacy

We use a basic consent model: Google Analytics and Microsoft Clarity do not load before you accept analytics. CFR keeps Google advertising storage and advertising personalization disabled and does not run advertising or remarketing tools. Microsoft Clarity masks all form inputs and other sensitive content; we also explicitly mask the site’s inquiry forms. If you reject or withdraw analytics consent, first-party Google Analytics and Clarity cookies are removed and future analytics storage remains denied.

Click-to-play YouTube and Vimeo media is not requested with the local thumbnail. Before adding a third-party player, the site activates CookieYes so the provider is blocked until the relevant optional preference permits it. The provider may use its own storage after consent and playback; CFR does not use that storage for advertising.

CookieYes records the choice needed to honor your preference and retain limited proof-of-consent evidence. You can reopen the preference center through Cookie settings in the footer. Global Privacy Control signals keep optional analytics denied.

How We Use Your Information

We use the collected information primarily for the purpose of fulfilling our contractual obligations and providing the MTR service.

Purposes of Use:

  • Identity Verification and Conditional Screening: To verify the government-issued ID required for a booking and, for properties whose owners require it, facilitate a separately disclosed background screening.
  • Agreement and Stay Coordination: To create, execute, and manage the Vacation Rental Agreement, process payments, manage deposits, and facilitate maintenance requests.
  • Communication: To send booking confirmations, agreement updates, maintenance alerts, and respond to inquiries.
  • Legal Compliance: To comply with federal, state, and local laws, including fair housing laws and tax reporting requirements in North Carolina.
  • Marketing: To send promotional information about properties or services, provided you have opted in to receive such communications.

Sharing and Disclosure of Information

We limit the sharing of personal information and only disclose it when necessary for service provision or legal compliance.

Sharing with Third Parties:

  • Property Owners: We share identity, agreement, and any property-required screening information needed to finalize a stay in the selected home.
  • Service Providers: We use third-party service providers for payment processing, maintenance/repairs, email delivery, cloud hosting, consent management, customer relationship management, and consented analytics. These providers are required to protect information used for their services. Relevant website providers include Vercel, CookieYes, Google Analytics, Microsoft Clarity, and AttractZen.
  • Screening Providers: When the selected homeowner requires background screening, information may be handled by the disclosed screening provider for that limited purpose.
  • Legal Compliance: We may disclose your information if required to do so by law, subpoena, or if we believe such action is necessary to comply with the law or protect our rights and property (e.g., in eviction proceedings).

Data Security and Retention

We implement industry-standard security measures (such as encryption and firewalls) designed to protect your Personal Information from unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet is 100% secure. We retain Personal Information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, including for legal or archival requirements.

Your Rights (General US/NC)

Access and Correction. You have the right to request access to the Personal Information we hold about you and request that any inaccuracies be corrected. You may opt-out of receiving marketing or promotional emails from us by using the “unsubscribe” link included in those emails. You can reject or withdraw optional analytics at any time through Cookie settings in the footer.
